How does the migration process work (everything you need to know)

When does the migration process start

We will advise you of a migration date, this is the date the migration will be completed, not the date that we'll commence the migration.

For most migrations we'll follow the below timeline:

  • In the days prior to your migration date we will set up your new accounts mirroring the settings of your old.
  • At 6PM the day prior to your migration date we will cut your service over to your new account. This will stop mail flowing to your old service and instead send it to your new service.
  • At 11PM the day prior to your migration date we will commence data migration, this will transfer all of your:
    • Emails (including folder structure)
    • Contacts
    • Calendars
    • Outlook mailbox rules
  • On your migration date, you will need to reconfigure your devices (including Outlook on PC).

Please note: The above information is for those customers where your domain and DNS is hosted by Ascari ITG. If your DNS is managed by yourself or someone else we will advise you of a number of DNS changes we will require and then they need to be performed.

What do i need to reconfigure my devices (including Outlook)

We have created a number of KB articles to assist with reconfiguring your devices including Outlook.

Will my password change?

We are trying to avoid password changes to your accounts where possible. However, if your existing password doesn't meet the password complexity requirements of Managed 365 services we may need to reset your password during the migration process. If you're having problems configuring your account and are wondering if you have the correct password please try to login to Web Mail (Outlook Web Access) via the link below and if you cannot login please contact us immediately.

Missing email data after migration 

Please be aware that the migration of your mailbox data may take some time to complete depending on the size of your mailbox. At the time of writing we're currently seeing migration speeds in excess of 1.5Gigabyes per hour therefore if you have a large mailbox it may take quite some time to fully migrate your mailbox. The table below gives a rough indication of the migration times.
